Vendor management is a repeatable, effective method for developing and monitoring third-party providers of goods and services. It is also a way to derive as much VALUE as possible from contracts and build mutually-beneficial long-term relationships.

Vendor management is a core competence in successful business. In a competitive marketplace, businesses must look at creative ways to extract more value from providers, while reducing risk and upholding quality.

Simply beating suppliers down on price year after year is not a sustainable strategy!

Here’s a 5-Point Checklist To Manage Your Vendors Better!

Spend analysis is a window into your business. Perform a spend analysis on third-party spend for one year. Is it what you expected to see?

Review your vendors based on the historical spend. What has changed? You may need to refocus on new or different suppliers.

Talk to your key vendors about continuous improvement. It’s important to open the lines of communication. Relationship building has its rewards. Adversarial vendor “relationships” help no-one so make sure you work together to resolve any issues.

Work on a plan for key vendors and re-look at the KPIs. Are they still relevant to use to assess and monitor performance?

Do you have a risk management plan? Every company has financial and operational risks. If you have one, review it based on the economic situation you are facing now. If you don’t getting one is critical.

Our Solution is Fully Managed.

Experts daily identify spending inefficiencies and potential vendor improvements. We focus on many various processes to obtain: credits, refunds, improved rates, contract terms and conditions.

We differentiate ourselves by creating a superior spend and vendor management process aligned with a fully managed global software solution.

Measurable Results: Vendor management allows businesses to gain access to vendor performance tracking, providing spend visibility, cost controls, cost reduction results, document management, process improvement, compliance tracking and more.

Vendor Management Solutions manage potential supplier risk whether in terms of unforeseen cost implications or regulatory compliance. VMS provides businesses with a clearer view into the unpredictability of billing and vendor costs that can result in lost profits when not managed.

Increased Efficiencies with Document Management: A vendor management solution increases overall efficiencies in the form of improved security of confidential files. If a business does not have the appropriate means to safely secure files, VMS tools provide a safe document management service for confidential information, agreements, terms, licensing agreements, inspection reports and more.

Reduced Costs: Vendor management is more than getting the lowest price. The key is for both sides to align on what constitutes a good value. When you have increased visibility, you can see invisible costs which results in better control in order to save.

Corporate Compliance: VMS manages business contractual compliance, which includes a standardization of all billing processes. This process includes bill rate standardization and management. Once you have a supplier active in a vendor management system, you can track and measure performance against the contract to ensure that the company is meeting your needs and complying with your requirements.

Industry experts argue that it is necessary for businesses to put in place a quantifiable contract compliance performance metrics to achieve the types of savings opportunities that best-in-class organizations realize on a daily basis.

Eliminating purchases made within an organization that are not in compliance with negotiated contract terms reduces wastes and can reduce costs. Structured vendor management implementation results in vendor fraud reduction and has an immediate impact on vendor processes and visibility into unnecessary spend. Quantifiable measurements for compliance help to identify these underperforming segments.

Monitor and Track Performance: The data and analytics you receive from tracking performance can signal challenges before they become problems and identify areas that may need improvement. Robust analytics provide unique visibility into vendors, expenses, budgeting and profits. The ongoing fully managed process magnifies ROI results.

The most important success factor of vendor management is to share information and priorities with your vendors. Vendor management tools can also be found to enhance items such as requisitions, approvals, expense management, payment and reporting. Overall, processes run smoothly when managed by a VMS team that is dedicated to ensuring both parties (business and vendors) meet all requirements of a contract.

Even the smallest increase in revenue or reduction in your expenses can have an impact on your company’s profitability.

Even the smallest increase in revenue or reduction in your expenses can have an impact on your company’s profitability. We would like to share 5 simple steps (some you may have already incorporated into your business and maybe some new ones) that improve your bottom line!

SHOP AROUND FOR SERVICES AND SUPPLIES.

Save money on business supplies by contacting your vendors and negotiate pricing. This will also let them know you are spend savvy and will shop around to find the best price. Most suppliers are amenable to the idea of negotiating prices, especially in this economy, and certainly they would rather do so than lose a regular customer. As leverage, try to find another supplier that’s offering lower prices, then ask your current partner to match or beat them.

BE CREATIVE and CUT PRODUCTION COSTS.

As a business owner, you’re always looking for ways to cut material and production costs. Try selling leftover materials such as; cardboard, paper, wood, containers and metal instead of sending it to the recycling center. Also, consider ways to use your waste to create another product.

– Get the most your of your production space. Centralize or consolidate the space necessary for production. Lease unused space to another business or individual—it can be as small as an office or as big as a warehouse space. Analyze your current use of physical space. Overflowing storage, too many supplies, piles of paper files and inefficient placement of furniture and equipment are common space wasters.

– Consolidate or centralize the different functions or departments of your business. Use space for dual purposes. A meeting room can double as a break room or a storage room that holds copy and fax machines for example. The opportunities will vary depending upon the nature of your business.

– Track and measure the operational efficiency of your business, in order to adjust and optimize the use of available resources. Set performance parameters that reflect your efficiency goals and offer incentives when those goals are met.

LOWER FINANCIAL EXPENSES.

Look at your insurance policies and financial accounts for places to save money.

– Save money on insurance by comparing providers for the most competitive rate; then ask your current lender or insurance provider to match that rate.

– Consolidate insurance policies or bank accounts if possible.

– Evaluate insurance policies to make sure you’re not over-insured or duplicating coverage.

– Don’t take on unnecessary debt. Do a thorough cost-benefit analysis and future forecasting when considering business expansion. Consider the opportunity costs and the effect of debt payments on cash flow. Excess debt affects company rating, interest rates and the ability to borrow in the future.

CUT MARKETING COST WHERE YOU CAN.

Of course, you don’t want to eliminate paid advertising that is working; however, it can be worthwhile to take a look at some cheaper alternatives.

– Build your customer e-mail list and implement a referral program. A recommendation from a current customer is far more likely to result in a sale than traditional marketing.

– Network more, advertise less. Clients are more likely to hire a business with a face they recognize.

– Cut marketing costs by doing more in-house.

– Increase social media use and reduce traditional marketing.

USE TIME STRATEGIES.

– Set expectations for a reasonable amount of time to complete certain types of business activities or tasks. Offer employee incentives for meeting or exceeding those expectations.

– Schedule a predetermined block of time for meetings. Make it clear that you expect participants to be on time, to stick closely to the agenda and to wrap up at the appointed time.

– Virtual meetings help minimize travel expenses, save time and virtual offices can eliminate the need for physical space. While we certainly don’t want to eliminate personal contact altogether, save it for the instances when it’s most beneficial.

Even a slight over-charge can add up to a considerable amount over time. No matter how corporate billing is done, it’s a mistake to think that billing today is computerized and accurate.

Even a slight over-charge can add up to a considerable amount over time.

No matter how corporate billing is done, it’s a mistake to think that billing today is computerized and accurate.

Companies of all sizes can make mistakes; even one missed keystroke can turn into a billing error over-charging a business (your business). Sometimes billing errors go on unchecked for months or even years, and end up costing businesses millions of dollars.

Vendor / Service Provider Billing Errors

Cable TV, phone, internet, and other communication services on are essential services for businesses. However, there are some very common telecom and utility billing errors that customers should watch out for.

– Billing past the cancellation date: Telecom companies may continue to invoice monthly charges after the customer has requested a cancellation. This can occur for years after the cancellation and in some cases even after the business has moved from its location.

– Incorrect rates being charged: In some cases businesses are charged incorrect rates for the services being performed. This happens when the initial discounts are not honored or applied upon renewals. This can be caused by an oversight on behalf of the provider or misleading agreements that set limitations in disclaimers.

– Charging for services the company did not request. Charging for services the business did not request? Sounds impossible right? It does happen and more often than you might think. Services like internet faxing or network monitoring are added to the account and the customers pay additional fees unknowingly for these services.

– 3rd Party Fees: The most frustrating section of your telecom invoice is “Third Party Billing.” These fees occur when your telecom vendor simply acts as a billing agent. These fees are usually for services that your company does not use. Situations like this are referred to as “slamming” or “cramming” fees. In many cases these fees are overlooked and are not questioned. Errors and overage charges in these telecom billing components allow companies to be taken advantage of, and these billing inconsistencies are costing your company money.

– Utility Company Errors: As with telecom, cable and internet, utility bills can also reflect a number of errors. For Example, many electric and water meters are still read visually and a single wrong digit can send power, water and sewer bills skyrocketing. And worse those who are mistakenly charged are usually forced to pay the high bill to avoid being shut off. In some cases, even when the utility company admits fault, it will only issue a future “credit”, and not refund the overcharge.

The best way to avoid vendor billing errors and overcharges is for commercial customers and businesses, to monitor their usage history and billing statement every month. When high rates or suspicious charges appear, the vendor/service provider should be contacted and an attempt made to resolve it.

Without the benefit of automated vendor management solution, spotting these errors can be challenging. A vendor expense management solution captures, interprets, validates, and resolves billing issues, helping companies avoid the pitfalls of not only overpaying but wasting time looking for these errors. Validate you are paying only for what you have contracted!

With the many moving and complicated parts associated with vendor and supplier expenses, often triggered by manual keystrokes it is not uncommon to have multiple errors due to inaccurate entries and discounts, missing credits, as well as duplicate or incorrect charges, misappropriated fees and taxes appearing REPEATEDLY monthly.

What are these errors costing your organization monthly? yearly?

Capture, interpret, validate, and resolve billing issues to avoid the pitfalls of not only overpaying but also eliminate wasted time looking for these errors. Validate you are paying only for what you have contracted!

Every organization no matter size or industry has a multitude of vendors and suppliers keeping their shelves stocked for sales or supplies for use, equipment and technology services running or materials on hand. Historically and in some cases currently, managing this relationship between vendor and your company meant spreadsheets, binders and filing cabinets (manual processes). Advancements in technology has brought some extended efficiency with cloud storage and online filing processes. But businesses still STRUGGLE with a multitude of issues from finding documents and managing the numerous related collateral pieces associated with each account AND accessing them in any way to formulate analytics and performance data is near to impossible not to mention time consuming.

By 2021, 70% of global enterprises will expand primary measures of ROI for vendor management beyond just cost savings and toward risk mitigation and performance improvement.

Data collection, aggregation and analytics will become an essential activity requiring dedicated and skilled resources. These resources will need to be able to not only collect, investigate and present data, but also identify trends that provide insight into the impact and business value of vendor management activities. This will ensure your processes and vendor management solutions are solid.

The aim of procurement savings are to drive down procurement costs, improve supplier terms and decrease product prices. Empower your business with supply management efforts to reduce costs. Achieve cost reductions in procurement and negotiate corporate prices and payment terms with suppliers, here are some ways to drive down costs …5 Strategic Ways to Drive Down Procurement Costs

In order to negotiate corporate prices and payment terms with suppliers, you’ll need a total understanding of all relationships and spend with your suppliers across your business.

Make the relationship mutually beneficial: A business relationship works best when both parties benefit. Procurement teams that have successfully aligned with their key suppliers have improved supplier capabilities of innovation, quality, reliability and costs/price reductions.

Within the Healthcare industry and Businesses of all industries alike – cost-reduction efforts are usually tactical, not strategic: Goals are modest, one time fixes and the causes behind inefficiency are not at all targeted. Such an approach is equivalent to treating symptoms rather than curing the disease. Healthcare service mission makes addressing clinical utilization (the right people doing the right things in the right way) especially challenging.

Not a One Time Fix – Treat the Disease not the Symptoms!

C-Level Executives should revisit their strategic sourcing contracts and work closely with their suppliers to analyze current spending and achieve maximum cost reductions.

Procurement savings can be made in a number of areas within a Purchasing Department. The aim of procurement savings are to drive down procurement costs, improve supplier terms and decrease product prices.

Empower your business with supply management efforts to reduce costs. Achieve cost reductions in procurement and negotiate corporate prices and payment terms with suppliers, here are some ways to drive down costs …

5 Strategic Ways to Drive Down Procurement Costs

Negotiate Costs with Suppliers

Studies have shown that present suppliers become complacent about existing customers unless they are motivated to remain competitive. Discussions with a new or existing supplier may lead to a reduction in cost. Asking for new bids from a present source who knows that competitors are also submitting quotes is often all that is needed to obtain concessions from the present supplier.

Reviewing supplier’s terms and discounts.

Ensure that a Master Agreement exists for all the suppliers. Discuss with your suppliers as to when you may make procurement savings by altering your purchasing patterns. It may be that by purchasing slightly more products your automatically receive a higher discount.

Train Ordering Staff

Ensure that the correct management controls are in place. Are the correct people ordering the right products for the job? This should cut down on excess or incorrect purchasing. Train staff on cost effective purchasing and encourage them to save money whenever possible.

Sourcing

Changing suppliers is often a good way to obtain a cost reduction; however it has risks. The new supplier may not provide consistent quality, may not provide good service, and may end up asking for a higher price. Changing a source for a key item requires the buyer to carefully check a supplier’s references and inspect the facility. Working with just one or two vendors enables collaboration between institutions and vendors on pricing, as well as on emerging technologies and innovations. Such seemingly small efforts to reduce inefficient care can lead to the early wins that set the stage for other improvements.

Purchasing Appropriate Quantities

Reducing the amount of inventory saves investment, saves space, and avoids deterioration and obsolescence. Buying the appropriate quantity minimizes inventory. Increasing the quantity ordered provides economies of scale to the supplier who in turn should pass on a portion in the form of quantity discounts. Any increases in quantity ordered must be compared with the cost of any need to keep additional inventory on hand.

Good management of the Purchasing Department is crucial to a profitable company and procurement savings can only be beneficial. There are a considerable number of ways to make procurement savings and all staff and managers should be aware of them and trained in good purchasing.

Struggles within HEALTHCARE;

Healthcare facilities are being challenged to produce high quality care without raising healthcare costs. Moreover, hospital leaders face the additional challenge of developing policies, procedures, and incentives to improve quality within a domain that has traditionally been the province of highly autonomous professionals.

Growing number of patients/residents: Global patterns indicate a reliable growth within the “getting older society”– US projecting an estimated 22 percent of the US population will be at the top age 65 by 2030.

Variable Improvements: Tough to adapt to variable improvements for the financial system in the marketplace.

Improvements appear usually gradually.

Product newest technological innovations require employees to have much more knowledge and techniques in order to operate them.

Medical facilities are making use of more advanced ways of therapy; these are adapting current strategies of clinical experts. But, it might be challenging when nursing homes are not able to handle their real estate.

Medical facility expenditures and spending have increased. Long-term health care facilities need to have professional medical related staff members available to meet the demands of consumer.

Growth and development of new or expanding structures are very expensive.

Health care providers today are typically organized around specialties and services, which;

Complicates coordination

Interrupts the seamless

Integrated flow of patients from one process to the next

Leads to the duplication of many processes.

In the typical care delivery process, for example, patients see multiple providers in multiple locations and undergo a separate scheduling interaction, check-in, medical consultation, and diagnostic workup for each one. This wastes resources and creates delays. Eliminating unnecessary administrative and clinical processes represents one of the biggest opportunities for lowering costs.

Struggles within HEALTH MANAGERS;

Maintain Expertise to acquire and maintain the expertise needed to undertake their professional tasks.

Management of ongoing changes.

Managing change is about handling the complexity of the process. It is about evaluating, planning and implementing operations, tactics and strategies and making sure that the change is worthwhile and relevant.

Maintain and improve the quality of care processes and outcomes for groups of patients.

With growing struggles and uncertain economic future, how can healthcare facilities and businesses alike reduce expenses and maintain quality?

“The service covered virtually every facet of our telecom usage and cost spectrum, including, local and long distance land lines, conference calling, cell phones, and broad band services and phone systems and internal telecom management”.

“Our companies had grown rapidly and as a result of acquisitions, we inherited different phone systems, a myriad of circuit contracts and disparate telecom systems. We had the sense that we had a bit of a mess on our hands but didn’t quite know where to start to sort out our telecom usage and expense management”.

“We saved approximately $900,000 or 25% of our total telecom spending of $3.6 million. Limitless was professional, efficient and minimally disruptive to our staff. We’d highly recommend them to any company that spends significant dollars on telecom services”.

If you’re looking to set yourself apart from the rest of the pack, and improve profitability and productivity in your enterprise, it’s imperative that you focus on a comprehensive spend management strategy that includes every aspect of your overall spend, with a goal of achieving 100% managed spend.

Taking Control

If you are serious about reducing risk and building a sustainable business then it pays to look for ways to take control of your fixed spend. Those people in your company who are responsible for ensuring expenses are effectively reviewed and bills are paid in full are in fact correct without question meaning no harm, of course; but without minimal oversight, they could potentially do a lot of harm!

The demands on today’s Chief Procurement Officers (CPOs) continue to escalate and the expectation of doing more with less is a constant, regardless of industry or customer base.

Deloitte’s Global CPO Survey for 2016 revealed a wealth of information about – and for – today’s CPOs, but one statistic that really stood out was the claim that 74% of CPOs see cost reduction as their number one priority. A study by PwC also found that approximately 50% of CEOs see cost reduction as a key strategic driver this year, too.

But this doesn’t seem to match the actions of many enterprises. There are still a substantial number of organizations lacking a comprehensive spend management strategy, indicating that their commitment to cost reduction is inefficient, sporadic or non-existent, regardless of what the executives say.

As much as 20% of an organization’s overall spend is unmanaged. So for an organization with an overall annual spend of $3 billion, some $600 million of this spend is uncontrolled and unregulated.

If C-Level Executives alike continue to allow such a vast amount of spend to be allocated with little or no oversight and control, how will they really be able to reduce costs and achieve savings? And how can cost reduction really be a top priority if this unmanaged spending is being allowed to continue?

Combating the Cost Reduction Paradox

If you’re looking to set yourself apart from the rest of the pack, and improve profitability and productivity in your enterprise, it’s imperative that you focus on a comprehensive spend management strategy that includes every aspect of your overall spend, with a goal of achieving 100% managed spend. It’s not just a procurement pipedream – it can be realized by working with the right team and the right tools, and effectively measuring your systems and progress.

Where to Start …

Spend Analysis

Every spend management program has to have a starting point, and a thorough spend analysis program will enable you to measure where you are today, as well as mark your progress as you implement your spend management program. A spend analysis enables you to share your success with the rest of the organization, and is an important part of creating an effective environment that you can duplicate as needed.

The sticker price on your car is only the beginning of what it really costs to own that auto — something that savvy shoppers should take into account when considering whether they got a deal or not.

Cost-effective solutions for you and your business.

The most expensive thing most Americans own, after their house, is their car. On average, Americans spend 5% of their income on purchasing a car. Another 5% goes towards on-going maintenance and insurance costs.

Fuel prices might be at a low point, but fuel economy remains one of the main drivers for new car buyers when they’re shopping around. The most economical cars on sale today are far ahead of the market’s fuel efficiency champions of 5 years ago with a combined cycle mpg figure of 85mpg required to get a car into the top 10.

The sticker price on your car is only the beginning of what it really costs to own that auto — something that savvy shoppers should take into account when considering whether they got a deal or not.

From the US Department of Energy the 2017 Hyundai Ioniq (electric) can travel 124 miles on electricity. You Save $3,750 in fuel costs over 5 years compared to the average new vehicle. Annual fuel cost is $500. The Hyundai gets a whopping 136 combined city/highway.

Do you know how FUEL EFFICIENT your vehicle is?

USE THIS CALCULATOR …

https://www.fueleconomy.gov/feg/bymake/bymanuNF.shtml

Do be aware, however, that the most fuel-efficient versions are not always the most cost-effective overall. If you don’t do many miles a cheaper, thirstier rival may still cost less to own, and diesel repair bills can be higher as the engines are typically more complex. So economy is just one factor to consider, but it can be a big one.

Repair costs and fuel costs mean that budget-conscious consumers need to look well beyond the sticker price when buying a new car. “If I could tell consumers one thing when evaluating a car to purchase, it’s that a car that might have a higher initial purchase price could end up being a better deal for your pocketbook over the next five years,” says Dan Ingle, vice president of vehicle valuations for Kelley Blue Book. That’s because depreciation, fuel costs, insurance and other variables can make the costs to own even very similar cars very different.

But, of course, people usually buy a car based not just on cost, but also on their car preferences.
