It seems as if each year, new challenges arise when it comes to managing your business more effectively. And in 2024, that is no exception. The rapidly evolving landscape of industries, compounded by global events and technological advancements, cost reductions initiatives and growth challenges present businesses with a myriad of obstacles to navigate. From shifting consumer behaviors to regulatory changes and competitive pressures, the complexities of modern business operations demand innovative solutions and strategic foresight.

In 2024, businesses are grappling with unprecedented disruptions, including supply chain disruptions, cybersecurity threats, and workforce transformations. The ongoing effects of the pandemic, coupled with geopolitical tensions and environmental concerns, further exacerbate these challenges, underscoring the need for agile and resilient business strategies.

Amidst this dynamic environment, the importance of effective cost management and vendor optimization has never been more pronounced. Businesses are under increasing pressure to streamline operations, reduce expenses, and maximize efficiency to maintain competitiveness and drive sustainable growth.

So, when it comes to outsourcing services to address any of these challenges, you must remember that expertise extends far beyond mere credentials; it is rooted in a profound understanding of the intricacies of cost reduction strategies and the nuanced dynamics of the market. Through years of practical experience, experts can navigate complex challenges, identify opportunities for optimization, and develop tailored solutions that drive significant benefits and cost savings for clients.

Outsourcing services to an experienced company with expertise rather than one that has credentials is crucial for the following reasons:

Depth of Knowledge and Skills: An experienced company with expertise typically possesses a deep understanding of the industry, gained through years of practical experience. This translates into a broader range of knowledge and skills, enabling them to manage complex challenges with ease and efficiency.

Proven History: Companies with expertise have a proven record of successfully delivering results for their clients. They have encountered various scenarios and challenges in the past, allowing them to draw upon their experiences to find innovative solutions and drive meaningful outcomes.

Adaptability and Flexibility: Experience often breeds adaptability and flexibility. Experienced companies are adept at navigating evolving market trends, technological advancements, and changing client needs. They can quickly adjust their strategies and approaches to align with shifting dynamics, ensuring continued success for their clients.

Customized Solutions: Companies with expertise can offer tailored solutions to meet the unique needs and objectives of each client. Rather than applying a one-size-fits-all approach, they take the time to understand their clients’ requirements and develop customized strategies that deliver maximum value.

Expertise in Benchmark Analytics: Benchmark analytics form the backbone of expertise in outsourcing services, providing deep insights into industry trends, performance metrics, and best practices. By analyzing benchmark data, experienced companies can identify areas for improvement, optimize processes, and make informed decisions to drive cost savings and enhance operational efficiency for their clients.

Necessity of Proprietary Databases: Proprietary databases containing key information are essential when outsourcing services, as they provide unique insights and competitive advantages. These databases house valuable data specific to the industry, market dynamics, vendor performance, and cost structures, enabling experienced companies to tailor their solutions, negotiate effectively, and deliver customized strategies that maximize value for their clients. Access to proprietary databases ensures a comprehensive understanding of the client’s environment, facilitating targeted cost reduction initiatives and informed decision-making.

Thought Leadership: Experienced companies often serve as thought leaders within their industry, contributing valuable insights and best practices that benefit their clients. They stay abreast of emerging trends, innovations, and regulatory changes, providing clients with valuable guidance and foresight to stay ahead of the curve.

In contrast, a company that merely has credentials may lack the depth of practical knowledge and real-world experience necessary to address complex challenges effectively. While credentials can demonstrate a certain level of proficiency or expertise, they may not always reflect the firsthand experience and proven history that an experienced company brings to the table. As such, when outsourcing services, it is essential to prioritize collaborating with a company which boasts a wealth of practical experience and expertise in the field and may hold credentials, too.

As businesses continue to grow and incur higher operational costs, there is an increasing need to optimize efficiency and cut costs. When it comes to vendor management, the old DiY approach, combined with a simple Software as a Service (SaaS) solution leaves much to be desired. It is quickly being replaced with a model referred to as “Software WITH a Service (SwaS),” also known as the “Do It for Me (DIFM)” approach. DiFM cuts out extraneous processes and enables businesses to focus on their real priorities, while the provider of vendor management solutions takes care of the rest.

A Tailored Fit

DIFM vendor management solutions are specifically tailored to the unique needs of YOUR business. Following the initial consultation and setup, the DIFM vendor management team identifies potential risks and negotiates with vendors to get the most value for your money. Think of it this way: A single software program is limited by the data input by its user, whereas a trained team of vendor management professionals is capable of thinking outside the box and offer fresh, innovative solutions to your most challenging supplier-related issues.

Time Is Money

There is no doubt that time is money, and business solution providers that offer Software with a Services provide companies with significant return on their investment. DiFM Vendor management solution providers like those offered by Limitless Technology include premium level services from a cross-functional team of experts, and a centralized platform where all your important documents are neatly organized and accessible with the click of a mouse. DiFM vendor management alleviates the headache of handling supplier onboarding and support by reducing impact of employee reassignment, centralizing web-based storage of all critical documents, and offers notifications and escalations for renewals/critical dates for all documents.

The Most Value for Your Money

It is likely that your company works with hundreds of different vendors, all with varying charges, contract terms & conditions and changing points of contact. This, of course, can become incredibly complex for many people in your organization. Without the proper management of these vendors’ details, you can soon find your organization at risk.

Becoming non-compliant with critical processes and procedures, unaware of critical vendor risks, unable to easily access necessary documentation, crippled by poor contractual terms & conditions, and overpaying for goods and services are unhealthy for any organization.

This complexity is why the out of date DIY/SaaS model is not ideal. The DIFM model better enables businesses to not only cuts costs but also: control expenses, drive service excellence and mitigate risks.

Often times when speaking with C-level executives I hear a jaded view on revenue in general. Most executives feel that sales forgives all sins and that top line revenue is king. But is it?

Because at the end of the day it’s how profitable you run your business that truly makes the difference. Those individuals which understand that both top line revenue and bottom line profits are equally important in every business, truly separates great leaders from mediocre ones when it comes to running a profit driven organization.

Cost reduction is important in business because it directly impacts the bottom line at no cost to an organization. (Unlike sales, which has direct material, labor, facilities, marketing, commissions, management, and administrative costs). By reducing costs, a company can increase its profitability and improve its financial health. This is especially important in times of economic uncertainty or when facing increased competition.

Additionally, cost reduction can help a company become more efficient and agile, allowing it to respond more quickly to changes in the market. While top line revenue is important for growth, it is not sustainable if costs are not managed effectively. To draw an analogy, simply put “why would you place water into a leaky bucket?”

Therefore, a true balance between revenue growth and cost reduction is necessary for increase valuation and long-term success.

Organizations cannot do business without vendors. Whether it is a telephone service provider or outsourced IT services, vendors are critical to helping operations run smoothly. Some businesses may only require a handful of vendors, while others need many more, based on the complexity of their operations. It should come as no surprise that vendor management becomes more complex as the number of vendors increases.

The vendor selection process is a critical step that happens early in the vendor relationship. By being diligent during vendor onboarding, you will prevent a lot of problems down the road. Every potential vendor should be subject to a vetting process that will assist with the selection of the best partner for an organization. Let us review what the process entails.

9 Steps to Onboard a New Vendor

At a minimum, your onboarding process should consist of the nine steps listed below. The process should be more rigorous for vendors with a higher level of criticality. Let’s examine the process further:

1. Do your Research

Make sure you’re aware of all the vendor options available to you by researching online, listening to sales pitches and asking business counterparts for recommendations.

2. Issue a Request for Proposal (RFP)

This document should be referenceable by both your organization and any potential vendor to clarify exactly what product or service is being quoted. It is recommended to send out an RFP to the top 3-5 vendors you have identified. Within the RFP, outline your organization’s business objectives and technical requirements. Make what you want to accomplish clear to the vendors, and request that they formally respond to every point in the RFP with a confirmation stating that they can meet each requirement.

3. Compare Proposals

It is a good idea to list out the features and functions that have been included in the RFP. You will be better prepared to draft a pros and cons list of each vendor if you create a comparison tool, including details such as where each vendor excels or any critical requirements that may be lacking.

4. Complete a Vendor Risk Assessment

This crucial step will determine if the vendor is high, moderate or low risk to your organization, as well as whether they’re critical or non-critical. The results of this assessment will factor into the due diligence you will collect.

5. Collect Due Diligence

Do your homework. The due diligence requirements are going to vary depending on the criticality and risk level of the vendor. The more critical or risky the vendor, the more detailed your process should be. The list below provides you a set of guidelines that should ALWAYS be followed:

Mutual Non-Disclosure Agreement (MNDA) or Confidentiality Agreement

Basic Information (i.e., full legal name, address, all physical locations, Website URL)

Ownership structure and affiliated companies

Tax ID

State of Incorporation

Articles of Incorporation

Secretary of State Check

Business License

Certificate of Good Standing

Credit Report

OFAC/PEP Checks

Any “doing business as” or “also/previously known as”

Dun & Bradstreet (D&B) Report

Research online complaints and customer reviews

Vendor negative news search findings

List of subcontractors

Picture or Google map view of the facility (if required)

Check the CFPB Complaint Database and/or Better Business Bureau rating

6. Obtain References

After narrowing down your list of preferred vendors, ask them for professional references or case study/customer success story documentation. It is always a best practice to learn about the customer’s firsthand experience by speaking to someone or reading more about the product/service.

7. Develop an Exit Strategy

Now that you have compared vendors and completed your due diligence, it is time to sign the contract.

One important thing many people overlook is an exit strategy. You need to consider a backup plan if the vendor relationship strays off course. This should be done before you ever sign the contract. You never know what may happen in the future, and a second source may be the best solution, even if it means sharing the volume between 2 vendors.

In the event you need to move on from a particular vendor, you’ll want to know some important things:

How will your data be returned to you or destroyed?

How quickly you can replace the vendor or bring the product/service in-house?

Who is your backup vendor?

8. Keep Senior Management and the Board Informed

Throughout the entire onboarding process keep senior management and the board updated. Be sure to present them with a summary of the due diligence, risk assessment, your planned ongoing monitoring and the proposed contract prior to signing on the dotted line.

9. Perform External Vendor Audits

While your staff is incredibly talented, there are certain competitive and cross-industry-related benchmark analytics and analysis tools that most do not possess internally. Because these capabilities are missing you should seek external expertise to review, analyze, recover and optimize spending and contractual terms related to your vendors. This exercise alone can save 10’s, 100’s even millions of dollars if enough spend categories are looked at on a monthly or at minimum* annual basis. (*NOTE: Often times contractual clauses restrict you from going past 90 or 180 days for recoveries on misappropriated billings. These too must be looked at and corrected when found, if they are determined to be a contractual risk element. Best to seek external expertise to assist in this process.)

These 9 steps will save you from contracting with the wrong provider. Doing your due diligence right away helps guarantee that you are selecting the best vendor in the space and the best fit for your organization.

Why You Should Outsource Vendor Management Specialists to Avoid Costly Oversights

We all understand the importance of overseeing our vendor ecosystem, but today we’re paying it a bit more attention as we realize the critical governance oversight it provides us. Our systems are uniquely positioned to act as a bridge that connects all of our stakeholders.

We have traditionally managed our vendors ourselves, as we feel this gives us better control over our vendors—allowing us to keep a hand in what is going on. However, more established enterprises are seeing the benefits of third-party management, bringing these specialists in to manage the day-to-day oversight of their vendors. Vendor management specialists can help manage transactional activity, collect operational data and even come up with suggestions for improvement.

By outsourcing management of our vendors, we can reduce our costs, improve service delivery, and place our focus on internal resources to help us develop richer relationships and higher strategic value.

Outsourcing certain jobs frees up everyone else in your business to focus on the areas they add the most value. An outsourced job usually requires a particular skill set unique to that industry, so having your existing employees pick up jobs they aren’t particularly trained for will take time away from their own specialized work, and will result in less-than-desirable results. You can’t expect your director of sales to also be an expert at marketing, just like you can’t expect anyone else in your company to quickly pick up the skills required of your own job.

When one individual is responsible for developing and managing an internal vendor management system, that information is often held by just that single person. When that person goes on vacation, takes time off for life events, or quits, the work is shuffled off to a backup who doesn’t necessarily know what to do. This can result in two problems:

The backup does it wrong. Tasked with vendor management, the backup will give it his best shot, but if he doesn’t know what he’s doing, he can easily make costly mistakes. This can create problems down the road.

The backup wastes a lot of people’s time asking questions. The backup wastes time reinventing the wheel and asking a bunch of questions that the vendor manager already asked.

Outsourcing creates stability. Losing an employee won’t mean losing systems, policies, and procedures. They are already developed and stored in an easily accessible place.

While there are many reasons why your organization would benefit from outsourcing your Vendor Management … Here are 6 of them.

6 Ways Outsourcing to a Fully Managed Vendor Software Solution Adds Visibility and Efficiencies to your Organization?

1. Cloud Based Repository. Increased Efficiency and Productivity.

Contract management is the management of contracts made with customers, vendors, partners, or employees. Contract management includes negotiating the terms and conditions in contracts and ensuring compliance with the terms and conditions, as well as documenting and agreeing on any changes or amendments that may arise during its implementation or execution. It can be summarized as the process of efficiently managing contracts and analysis for the purpose of maximizing financial and operational performance and minimizing risk.

Contract management is a powerful tool because of the contract insights that can be understood through reporting. A good contract management solution brings tremendous insights on tangible metrics and provides insight that can help you make educated decisions and take beneficial actions. For companies with extensive equipment, hardware and machinery, contract management through a centralized software is gaining tremendous awareness because it can save businesses as much as 20 percent annually. These savings can be found in the reduction of both contract costs and time efficiencies allowing employees to focus on more strategic projects and responsibilities. The key advantage of a strong contract management strategy is consolidation.

For Corporate teams, this means consolidating all of your machines, equipment, assets and warranties into one primary location, where you quickly gain a comprehensive view of your inventory; easily find terms, conditions and rates, manage warranty exit dates, additions and removals; and monitor service levels.

2. Reduce Administrative Overhead

With the average new employee cost in any role estimated to be at a factor of 4 times base salary, outsourcing a process or function when and as you need it will save you money. Often in vendor management we focus on “What will this cost me?” What we are seeing more and more is the reoccurring question, “What will this service SAVE my organization?” With a centralized log of your hardware assets and contracts, time spent sifting through contracts by internal teams and management is heavily reduced, in turn giving management the opportunity to allocate resources elsewhere.

3. Long-Term Discounts

Companies in good standing with vendors can earn additional discounts.

4. Immediate Cost Savings

By taking unused services, systems, machines and any other equipment that is no longer being used off of outdated contracts and warranties and placing only active ones on contracts, businesses see an immediate savings on monthly and annual fees, as well as service fees and productivity losses associated with “unused” hardware.

5. Central Visibility

Know exactly what is happening with your contracts at all times, monitor timely equipment and contractual data and gain an accurate picture of your assets, all via a centralized dashboard.

6. Direct Vendor Communication

Fully managed software means you have an expert between your company and the vendor, saving time internally and ensuring that communication is efficient and accurate.

The six benefits above clearly show how important proper management of your service contracts will increase efficiencies, improve your relationships with the service provider and drive cost savings throughout your organization. An added benefit is that you now have a greater vision into spending trends which allows you to budget and forecast more accurately for future investments. Run a more cost-effective and efficient way to manage your service contracts with LIMITLESS Vendor Management Solutions.

Outsourcing vendor management to a third party will also help standardize processes; and consistency helps enable the transparency essential to effective governance. This helps to alleviate flawed data, and costly mistakes.

In too many companies, outsourcing contracts are left to purchasing, legal, and senior executives, then assigned to the managers and staff who will be working with the vendor on a day-to-day basis.

Operational staff and process owners don’t always understand the complexities of the initial contract. It is signed and filed – end of the story. However, the question remains… is the contract still measured for performance, ensuring nothing which is critical during the life of the contract has been overlooked or omitted?

Management teams can deal with hundreds of contracts at once, so it is easy for a contract term, condition, or renewal to slip through the cracks.

Here’s the nightmare. Imagine working months or years, ushering a deal through the process, only to miss the renewal and miss out on the revenue reduction that comes with it. That revenue has been forecasted from the beginning of the contract cycle, so now operations and finance need to go back and adjust their numbers to reflect the loss. This is not only time-consuming but also carries no guarantee the vendor will honor the rate reduction now or in the future.

On a day-to-day basis, your managers oversee all aspects in relation to your company’s contracts. With so many moving parts in your fast-growing organization, managing these contracts can become a real problem if you are not equipped with the right tools.

Many companies ARE getting ahead of this problem by finding a partner with the tools and expertise to manage the details, as it relates to local, regional, or even national service-related costs. They need a partner they can trust, that will do the benchmark analysis on every single vendor, ensure bills get paid on time and services providers aren’t taking advantage of you, and actively renegotiate for lower pricing and better T&Cs, ultimately resulting in the elimination of “spend fat” and more strategic use of budgets.

A fully managed vendor management solution simplifies contract management lifecycles, making it easier on your staff, compliance team, and legal department. This IS what our team at Limitless does All Day and Every Day. We take this burden off of your people so they can focus on the bigger problems. Plus, we partner with each member of your team, so they feel confident that they can maintain the overall control and don’t lose the vendor relationships they value but DO gain the critical support they need to make better decisions. The support we provide allows your team to focus on the more important work of ensuring occupancy rates, delivering exceptional resident experiences, and growing their business and market share.

Cost Creep. Has this HAPPENED to YOU?

Your company starts to grow, and you need more technology to keep up with additional staff, customers and to help improve the process. You are aware of the efficiencies and cost savings made possible by new technologies and are upgrading their infrastructures as a result.

But are you aware of How Purchasing more Technology can lead to Cost Creep?

Every CFO knows about “cost creep”; the slow build-up over time in the cost/revenue ratio. In today’s marketplace, there is an increasing number of service providers who can deliver more efficient solutions, giving end-users more options than ever.

In the beginning, new suppliers are on their very best behavior, cutting deals and slashing costs. The client will enjoy some pretty large cost savings during the first couple of years.

However, as the contract matures and becomes less visible to the client, costs begin to slowly creep up until, if unchecked, they can accelerate way beyond the initially agreed-upon amount.

When you purchase more services, your plans may mutate, creating new contracts that incur additional charges. Over time, small ancillary charges can appear but are not questioned, increasing your bills slowly. This “creep” may leave you paying for services you do not need and may not even understand.

Because data is at the heart of every business and it plays a crucial role in businesses staying connected, technology bills are perceived as a necessary fixed expense and are often overlooked even when the initial cost has increased yet services have not changed.

Companies, Organizations, and Businesses can easily incur monthly expenses ranging from thousands to tens of thousands of dollars each month. Managing the financial component of vendors can be a nightmare! Looking at just telecom you have: Multiple carriers, multiple contracts, introductory offers, equipment, and different locations. Just these factors can lead to poor financial management and procurement processes.

Learn how to improve vendor management processes and improve your bottom line! #stopcostcreep #reducecostcreep

With a Vendor Management Solution, contract experts can negotiate a fixed rate for a particular service.

An independent study conducted by the International Association for Contract & Commercial Management (IACCM), concluded that poor contract management can cost companies upwards of 9% of their total annual revenue. Consistently, these four areas are identified as the largest components of this revenue loss:

Opportunity Cost

Often, organizations choose the path of least resistance. Contract renewals are no exception, especially when a previous contract/agreement with an auto-renewal clause has already been approved by leadership. In fairness, leaders and managers don’t have the time or resources to research each vendor agreement and vet for better opportunities with a new vendor partner. However, each time an auto-renewed contract is set into action losses can occur. A better solution would be outsourcing this process to a trusted vendor management consultant who can personally manage and negotiate each contract to make sure your organization is receiving the best and most cost-effective vendor solution.

Penalty Costs

Many organizations have compliance measures that surround their agreements. Not verifying these vendors meet those compliances can lead to higher costs or worse yet severe legal repercussions to the organization. Additionally, mismanaging the terms of vendors’ contracts can lead to additional penalties for the organization. VMS consultants can focus on compliances making sure your agreements comply with all state, local, and federal regulations.

Future Savings/Costs

Often, when a vendor is pursuing an agreement with a new client, they focus on cost-saving measures which can reduce a company’s overall bottom-line. This is an attractive pitch to organizations, which are always looking for new ways to be more efficient and cost-effective. However, a company’s internal teams are usually not fully briefed on their part of the process. Additionally, these internal teams are usually not fully trained in the steps of managing the new agreement process. When internal teams don’t effectively manage the new cost-saving measures in agreements, Company’s end up losing big potential savings.

Managing the contract is also important when significant costs are associated with delaying outlined timelines. Making sure vendors stay accountable for the timelines agreed upon could save large cost implications for the organization. Conversely, an outsourced vendor management team can cost-saving solutions are implemented and are continually monitored to guarantee promised results.

Redundancy Costs

When contracts are not managed effectively, significant redundant charges can be missed in annual reviews. Double charges and billing discrepancies are often missed when resources are not continually monitoring to audit vendor agreements. A VMS consultant can take a breadth of billing statements and thoroughly review inconsistencies to reduce redundant costs. In addition, they will monitor future billing to ensure similar redundancies don’t emerge months later.

These costs are something every company experiences but are completely avoidable. All that is needed is expertise in the auditing and management of your business’s current agreements. Limitless-CRS has a proven vendor management solution that eliminates these costs and returns that revenue to your organization. Click here to reach an explanation of our VMS process to understand how these costs can be reduced.

Vendor management is a repeatable, effective method for developing and monitoring third-party providers of goods and services. It is also a way to derive as much VALUE as possible from contracts and build mutually-beneficial long-term relationships.

Vendor management is a core competence in successful business. In a competitive marketplace, businesses must look at creative ways to extract more value from providers, while reducing risk and upholding quality.

Simply beating suppliers down on price year after year is not a sustainable strategy!

Here’s a 5-Point Checklist To Manage Your Vendors Better!

Spend analysis is a window into your business. Perform a spend analysis on third-party spend for one year. Is it what you expected to see?

Review your vendors based on the historical spend. What has changed? You may need to refocus on new or different suppliers.

Talk to your key vendors about continuous improvement. It’s important to open the lines of communication. Relationship building has its rewards. Adversarial vendor “relationships” help no-one so make sure you work together to resolve any issues.

Work on a plan for key vendors and re-look at the KPIs. Are they still relevant to use to assess and monitor performance?

Do you have a risk management plan? Every company has financial and operational risks. If you have one, review it based on the economic situation you are facing now. If you don’t getting one is critical.

Our Solution is Fully Managed.

Experts daily identify spending inefficiencies and potential vendor improvements. We focus on many various processes to obtain: credits, refunds, improved rates, contract terms and conditions.

We differentiate ourselves by creating a superior spend and vendor management process aligned with a fully managed global software solution.
